    When a founder was accepted into the DQ Ventures program, the team had to manually set up a personalized ValueCase portal for them. This involved switching between tools, copying templates, adding the founder’s details, embedding their investment memo, and then updating Folk CRM with the portal link. It sounds simple, but it took time every single day — and because different team members handled onboarding, things often got messy: Portals weren’t created on time, Some founders received incomplete portals, Folk CRM didn’t always have the correct link, Investment memos weren’t embedded or were outdated, Duplicate ValueCase spaces were created by mistake. DQ Ventures needed a system that handled everything instantly, consistently, and without human involvement.

    The Solution

    Automation Overview

    We built a powerful automation that watches Folk CRM for a specific moment: when a founder’s status updates to “Applied: accept.” As soon as that happens, the system automatically creates a fully personalized ValueCase Founder Portal using the correct template, embeds the founder’s memo inside it, and syncs the portal link back to Folk — all within seconds. No manual setup. No missing links. No errors.

    CRM Status Trigger

    Everything starts when a founder is marked as Accepted. This ensures portals are only created for the right people at the right time.

    Duplicate-Protection & Validation

    The workflow checks if the founder already has a ValueCase portal. If one exists, it stops safely. If not, it creates a fresh, clean portal.

    Automated ValueCase Portal Creation

    The system authenticates with ValueCase and selects a DQ Ventures–approved template. Then it creates a new branded portal space named for that founder. No human input. No manual template duplication.

    Investment Memo Auto-Embedding

    The founder’s investment memo is pulled straight from Folk CRM. The workflow converts the memo into an embeddable preview format and places it directly inside the ValueCase portal. Partners can now view the memo instantly without downloading anything.

    Clean CRM Sync Back to Folk

    Once the portal is created, the workflow updates the founder’s record inside Folk with the portal link. This keeps operations, GPs, analysts, and leadership perfectly aligned.

    Webhook Confirmation

    After completing the setup, the system returns a structured webhook response: Confirmation of success, Portal URL, Founder ID, Timestamps. This keeps other tools and dashboards in sync without any manual tracking.
